ROLE SUMMARY:
We're hiring a Project Coordinator to own the day-to-day rhythm of our delivery team — running the daily Product standup, tracking sprint progress across engineering and marketing workstreams, keeping deadlines and client commitments on track, and making sure tasks assigned in standup actually get delivered. This role is the connective tissue between the founder, the technical team, and our clinic clients — turning daily meeting notes into tracked action items and following up until they're closed.
KEY RESPONSIBILITIES:
Daily Standup & Sprint Management:
- Run and keep time on the daily standup.
- Convert auto-generated meeting notes into a clear, owned action list immediately after each standup.
- Track sprint status across active workstreams (agent development, integrations, QA/testing, marketing/website), flagging anything at risk of slipping.
- Maintain a single source of truth for open tasks, owners, and due dates (task board / tracker).
Deadline & Delivery Coordination:
- Own the master timeline across concurrent client projects and proactively flag date conflicts or slippage to the founder.
- Chase outstanding items with individual owners (engineering, QA, marketing) and escalate blockers before they become late.
- Coordinate handoffs between team members — e.g., development → internal testing → client demo → go-live — so nothing stalls between stages.
- Confirm delivery readiness (demos, releases, go-lives) with the relevant engineer before communicating dates externally.
Client Communication:
- Prepare and send weekly client status updates summarizing progress, issues resolved, and upcoming milestones.
- Schedule and coordinate client check-in calls and demos, including calendar invites and follow-up notes.
- Track client-reported issues (e.g., from live testing) through to resolution, keeping the client informed along the way.
- Serve as a day-to-day point of contact for scheduling and status questions, escalating technical or commercial issues appropriately.
Task Assignment & Team Coordination:
- Translate standup discussion and client requests into clearly assigned tasks with owners and deadlines.
- Follow up on assigned action items daily and report status to the founder.
- Coordinate across engineering, QA, and marketing so dependent tasks are sequenced correctly.
- Support onboarding coordination for new team members and contractors joining a project.
Administrative & Operational Support:
- Maintain documentation of decisions, project notes, and requirements in shared folders.
- Support light billing/invoicing coordination (e.g., tracking invoice status, following up with clients on payment).
- Help coordinate recurring internal meetings (marketing sync, technical reviews) and keep calendars organized.
WHAT WE'RE LOOKING FOR:
- 2+ years of experience in project coordination, delivery management, technical account management, or a similar client-facing operations role.
- Comfortable running daily standups and translating fast-moving, informal discussion into structured, trackable tasks.
- Excellent written communication — you'll be drafting client-facing weekly updates regularly.
- Strong follow-through: you chase things down without being asked twice.
- Experience coordinating across technical (engineering/QA) and non-technical (marketing/client) teams.
- Comfortable working with tools such as Google Workspace/Meet, a task tracker (e.g., Trello/Asana/Notion/Jira), and basic familiarity with invoicing tools (e.g., QuickBooks) is a plus.
- Experience in a healthcare, SaaS, or startup environment is a plus, not required.

- Clients receive clear, on-time weekly updates and never have to chase MarkiTech for status.
- Sprint deadlines are visible well in advance, with risks flagged early rather than discovered late.
- The founder can rely on this role to run delivery operations without needing to chase details personally.
